Why Couples Regret Venue Bookings

Most post-wedding complaints trace back to one of three root causes: a venue oversold its capacity relative to actual comfortable seating, staffing wasn't scaled to guest count (leading to slow service and unhappy guests), or contract terms were verbal rather than written, leaving room for last-minute "extra charge" surprises. All three are preventable with the right questions asked upfront — and in writing.

Capacity vs. Guest Count: The Rule of Thumb

If a venue advertises a capacity of, say, 500, ask whether that's theatre-style (rows of chairs, no tables) or banquet-style (round tables with full seating). Banquet-style capacity is typically 20–30% lower than the advertised theatre-style number. If you're expecting 400 guests for a seated reception, don't book a venue whose banquet-style capacity is exactly 400 — leave a buffer, since actual attendance often runs higher than the RSVP count.

Questions to Ask About the Contract

• Are chairs, tables, and linens included in the quoted price, or billed separately?
• Is there a curfew or noise cutoff time (common in residential-adjacent areas), and does it affect DJ/sound scheduling?

Catering Flexibility: Can You Bring Your Own Caterer?

Some venues require in-house catering only; others allow outside caterers for a corkage fee; a few allow it with no additional charge. If you have a preferred caterer or specific dietary/religious catering needs, confirm this policy before booking — not after. Ask specifically whether the corkage fee (if any) is a flat amount or charged per plate, since this can change your total budget significantly at higher guest counts.

Power Backup & AC Coverage: Confirm, Don't Assume

"We have a generator" is not a complete answer. Ask specifically: does the backup generator run the air conditioning and full lighting rig simultaneously, or only emergency lighting? How quickly does backup power kick in during an outage? Is fuel cost for the generator included in the quoted price, or billed as an extra? For summer weddings especially, AC failure mid-event is one of the most common guest complaints — confirm this in writing.

Parking & Procession Road Access

Ask how many vehicles the venue's parking can realistically accommodate, and what the plan is if parking overflows (street parking arrangements, valet, nearby lots). If your event includes a janti/procession, confirm the access road can accommodate the procession group and any accompanying vehicles or band, especially for venues on narrower lanes.

Reviews & Site Visits During a Live Event

Reading online reviews is useful, but visiting the venue during an actual live event (with the owner's permission, standing at the back) tells you far more: how staff handle real guest volume, whether the sound system is clear, how quickly food service moves, and whether the space feels as spacious in practice as it looks in photos. Most venues will allow a brief visit if you ask respectfully and aren't disruptive.
